To qualify to enter a club ballot for an event (e.g. London Marathon or Brass Monkey), you must:
- Have been a paid up first claim member of Hyde Park Harriers from the April of the year the club ballot draw is made. Exceptions may be made for members who have joined more recently than that date at the discretion of the committee.
- Be a fully paid up first claim member of Hyde Park Harriers on the day of the relevant event for which you are successful in the club ballot.
- Comply with the club ballot entry requirements as specified by the club’s committee in respect of the relevant event.
In respect of the London Marathon club ballot, you must also:
- Have first applied via the London Marathon general ballot and received a rejection notification.
- Provide a rejection slip/letter/email in your own name. These must be given/emailed to hello@hydeparkharriers.co.uk by the deadline stated in all communications.
Please note the following:
- Rejection slips/letters/emails are NOT transferable to other club members.
- Any club member who has received a club ballot place in respect of a particular event will not be eligible to enter the club ballot again for that event (see list below for previous ballot place recipients). Success in a ballot in respect of one event shall not prevent the club member participating in a ballot for a different event.
- Club members are not allowed to enter a ballot if they are planning to defer the place at the relevant event at the time of the draw taking place. If this is proved the allocated place will be withdrawn and the club member will not be able to enter a club ballot again for three years.
- The order in which the places are drawn will be recorded. If the club does not receive the anticipated number of club places from the relevant event, the places will be allocated in the order they are drawn.
- Club members are not able to transfer or nominate another member to take their place should they be drawn out of the ballot.
- In recognition of their contributions to the club, any club member (i) who has led at least five official club sessions since the previous year’s ballot (as determined by the club’s committee) or (ii) who is serving on the committee at the time of a ballot shall have their name entered into that ballot twice. For the avoidance of doubt, no club member shall have their name entered into a ballot more than twice.
If successful in a club ballot, the club and the relevant ballot winner will undertake the following:
- The club and the relevant ballot winner will co-operate to register the ballot winner’s place in the event. Club members are not able to transfer or nominate another member to take their place without the committee’s express consent.
- It is the ballot winner’s responsibility to comply with any registration requirements specific to them (such as completing registration forms and paying entry fees). All costs of transport and accommodation is the responsibility of the ballot winner.
- If a ballot winner knows before the date of the relevant event (or the latest date for transferring a place in the event) that they will no longer be able to take part (for a reason other than pregnancy, injury or illness) they must inform the committee as soon as possible who may (at the committee’s discretion) draw another name out of the ballot and require the original ballot winner to transfer their place accordingly.
- If the ballot winner finds out they are unable to run due to pregnancy, injury or illness after this date, it is their responsibility to apply to the relevant event organiser to defer their place. Under no circumstances should the ballot winner’s number be given to someone else.
- The ballot winner must run in a club vest/top.
- Ballot winners are encouraged to share their marathon journey with other club members via social media.
